Sharing a Consultation

There are two ways to share a consultation: you can share a public link with respondents so they can view and respond to it, and you can share management access with other members of your SmartSurvey account so they can help manage it.

Sharing a Public Link

Once a consultation is published, you can copy its public URL to share with respondents.

  1. Open the consultation from the Consultations index.
  2. Click Share in the consultation header.
  3. The Share Consultation modal opens, showing the shareable link.
  4. Copy the link and share it however you need: by email, on your website, or through other channels.

Sharing Management Access With Team Members

If you own a consultation, you can give other members of your SmartSurvey account varying levels of access to it. This lets colleagues view responses, make edits, publish updates, or carry out other tasks without needing to be the owner.

To manage access:

  1. Go to the Consultations index.
  2. Find the consultation you own and click the ellipsis menu (⋯) in its row.
  3. Click Share Consultation.
  4. The Share Consultation panel opens, showing the current list of people with access.

Adding People

  1. Click in the Add people field at the top of the panel.
  2. Search for and select one or more members of your organisation.
  3. Selected members are added immediately with View access enabled by default.

Setting Permissions

For each person you have added, you can toggle the following permissions on or off:

  • View: the member can view the consultation and its details.
  • Edit: the member can make changes to the consultation's details, documents, and links.
  • Publish: the member can publish the consultation or publish its results.
  • Analyse: the member can access the Analyse tab and view responses.
  • Email: the member can send emails related to the consultation.

Check or uncheck the boxes in each column to update a member's permissions. Changes are saved automatically.

Removing Access

Click the delete icon (bin) at the end of a member's row to remove their access. You will be asked to confirm before their access is removed.

Note: The consultation owner always has full access and this cannot be changed. The Share Consultation option in the listing only appears for consultations you own.
