At SmartSurvey, we're committed to helping you send emails effectively and maintain a high deliverability rate. To achieve this, we've introduced a sender verification process to ensure your emails reach your intended recipients and avoid being flagged as spam.
Why sender verification?
Email providers are constantly working to combat spam and improve inbox security. If you send emails to contacts without their permission or if your data contains errors, receiving email servers might mark your emails as junk or spam. This can negatively impact our sender reputation and, in some cases, lead to our email servers being blocked or blacklisted. To protect all SmartSurvey users, we're taking proactive steps to prevent this.
How does it work?
For new senders, the first 5 email sends require a quick verification by our team. Here's the simple process:
- Set up your email as usual: Compose your message
- Request verification: Once you've finalised your email, submit it for sending. This will notify our team that your email is ready for review.
- We'll verify your details: Our team will review your email content, recipient list, and sender information to ensure everything aligns with best practices for email deliverability.
- Approval and sending: Once verified (usually within 1-2 hours, but could be up to 24 hours), your email will be approved and sent to your recipients.
What are we checking?
During the verification process, we'll be looking for common red flags that can trigger spam filters, such as:
- Invalid email addresses: We'll check for typos, outdated addresses, and other errors in your recipient list.
- Misleading subject lines: We'll ensure your subject line accurately reflects the content of your email
- Spam content: We'll check for trigger words and code often associated with spam.
- Missing sender information: We'll make sure your email includes clear sender information and a valid reply-to address.
Becoming an approved sender
Once you've built up your sending reputation with SmartSurvey, you will become an approved sender which means your emails will get auto-approved without having to be reviewed by our team.
