Having more than one user account allows different people in your team to work on surveys and campaigns at the same time.
You can create a new account for a user directly.
This is performed by accessing "User Management" from the Account drop-down.
To see this option and perform any of these tasks, you will need to be the master user on a Business Team, Enterprise Team, or Enterprise Plus Account.
Creating a User Account
To create a new account directly:
- Click Add User.
- Under Login Details, create the new account's login details by entering the new user’s email address and a password. You can choose a custom avatar of you wish.
- Under User Details, fill in the new user’s name and contact number (optional).
- Under Response Limits, set the maximum number of survey responses you want the new user to be able to receive per month.
- Click Save Changes.
Inviting a new User
To invite a new user to your account:
- Click Invite User.
- On the pop-up, enter the invite recipient's First Name, Last Name, and Email address.
- Choose an invitation method.
- User receives invitation via email - SmartSurvey will generate an email to the recipient.
- Generates a unique link to send the user - You will be shown a link for you to manually give to the new user.
- Click Invite User
- If you had set for the user to receive an email, it will be sent at this point.
- If you chose for a unique link, the next page will show you that link. Copy this and send to the recpient however you wish, making sure not to edit it.
Inviting Multiple Users
You can invite multiple users to your account in a single action.
- Click Invite User
- In the upper right of the pop-up, click Invite Multiple Users
- In the large box, enter your recipients in a comma-separated list as follows:
- Email address, First name, Last Name
- Every recipient on a new line.
- Below the box, you will see the number of users remaining available on your plan.
- Choose an invitation method.
- User receives invitation via email - SmartSurvey will generate an email to each recipient.
- Generates a unique link to send the user - You will be shown a link for you to manually give to the new user.
- Click Send Invites
- If you had set for the users to receive emails, they will be sent at this point.
- If you chose for unique links, the next page will show you those links. Copy these and send to the recpients however you wish, making sure not to edit them.
Check Invitation Status
If you have any pending invitations, that is invitations that have been sent but not taken up, you wil see a Vew Pending Invitations option above the user list on the User Management page.
Clicking this will allow you to see a list of the invitations, with the options to re-send the invite (or re-access their link) or delete the invitation.
User Invitation Expiry
New user invites sent this way will expire after two weeks.
Note - If invitations are sent individually or in more than one batch, it is possible to have more invitations pending than there are unused users on the account. In this scenario, the account users will be allocated on a first-come, first-served basis as the recipients respond to their invitations, so any recipient clicking the activation link after the user limit is reached will not be able to create an account.
